Please check the following:

  1. Configuration > Metadata > Import Metadata > Competed imports
    This page will list all the problems encountered with the imported spreadsheet
  2. If you are uncertain about the format required for a particular field or wish to practise the process of importing + exporting, perform a metadata export first. i.e. create a single test folder containing a single picture within your IMS system which contains metadata in the form that you require. Then export to a test spreadsheet as the result will help to provide an example of what to aim for when performing a metadata import. Check the results of your import attempt by going to the Configuration > Metadata > Import Metadata > Complete Imports page and click on the name of the CSV you just uploaded. This page will tell you if the import process struggled with any records from the CSV.
  3. Concentrate on getting the format correct for a single example picture to avoid potential mistakes on large numbers of files.
  4. Try to use IMS References rather than Filenames if you can. It might not always be practical to do so but can help to avoid ambiguity. IMS Reference numbers are unique but filenames will not necessarily be so. When importing, should there be more than one file already in your library with the filename mentioned in the import, the import will not write to either file to avoid writing to the wrong one.
  5. Dates must be in the format YYYY-MM-DD. If using Excel please check that that Excel is not converting the date into a different format. CSV files are supposed to be treated as raw text but Excel may incorrectly assume that you want the date converted into a different localised format.
  6. If you still have issues, please send our support team an example CSV file that you are having issues with but ONLY include two rows:
    e.g.

    IMS ReferenceKeywordsCaption
    12345678CambridgePunting in Cambridge


    We will then attempt to import the spreadsheet into your library to attempt to trigger the error you have reported.
